Privacy Policy of the MeMOM System and Mobile

1. GENERAL PROVISIONS
  1. This Privacy Policy sets out the rules for the processing of personal data and other information collected via the MeMOM Website and the MeMOM Mobile Application (hereinafter referred to as the "Application").
  2. The Administrator of the personal data is MASTA SOLUTIONS SPÓŁKA Z OGRANICZONĄ ODPOWIEDZIALNOŚCIĄ, based in Przeźmierowo (registered office address: ul. Południowa 72c, 62-081 Przeźmierowo), entered in the Register of Entrepreneurs of the National Court Register under the KRS number 0000985312; NIP 7812038640, REGON 522719891 (hereinafter referred to as the "Administrator").
  3. Personal data is processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR).
2. DATA PROCESSED IN THE MOBILE APPLICATION

In accordance with the declarations made regarding the "MeMOM" Application, the Administrator processes specific categories of data necessary for the proper functioning of the Warehouse Management System (WMS).

A. Personal Information

The Application processes the following user information to manage accounts and ensure functionality:

  • Name and Email Address: Used for User identification, account management, and logging into the enterprise system.
  • Source: Accounts are created through employment or enterprise accounts (managed by the Administrator or the User's employer). The Application does not allow users to create individual accounts by themselves.
B. Device Permissions and Features

To provide full WMS functionality, the Application requires access to specific device features:

  1. Camera (Photos and Videos):
    • Purpose: The Application uses the camera to take photos (e.g., documenting damaged goods) or record videos as part of the warehouse documentation process. It may also use the camera to scan barcodes/QR codes.
    • Google Play Declaration: App functionality.
  2. Storage (Files and Docs):
    • Purpose: The Application requires access to the device's storage to read and save documents (e.g., invoices, shipping lists, reports) generated or used during work.
    • Google Play Declaration: App functionality.
C. Technical Data and Identifiers

The Application collects technical data to ensure security and stability:

  • Device or other IDs: Unique identifiers are collected for fraud prevention, security compliance, and account management (to bind a specific device to a warehouse worker's session).
  • Crash Logs and Diagnostics: The Application collects anonymous crash reports and performance data to analyze errors and improve the stability of the software.
3. DATA SHARING

No Third-Party Sharing:In accordance with our Data Safety declaration, the Administrator does not share personal user data collected via the Mobile Application with third-party companies or organizations for their own purposes (e.g., marketing).

Service Providers (Processors):The Administrator may entrust data processing to entities providing technical services (e.g., hosting providers, IT support) solely for the purpose of maintaining the system's operation. These entities process data only on the Administrator's instructions and are bound by confidentiality agreements.

4. DATA SECURITY

The Administrator applies appropriate technical and organizational measures to ensure the security of processed data.

  • Encryption: All data transmitted between the Application and the server is encrypted in transit (using secure protocols such as HTTPS/SSL).
  • Access Control: Access to data within the Application is restricted to authorized personnel.
5. BASIS AND PURPOSE OF PROCESSING

The data indicated in Section 2 is processed based on:

  1. Performance of a contract (Article 6(1)(b) GDPR): Enabling the use of the WMS system, managing warehouse processes, and user accounts.
  2. Legitimate Interest (Article 6(1)(f) GDPR): Ensuring the security of the application, detecting fraud (Device IDs), and analyzing application stability (Crash logs).
6. DATA RETENTION PERIOD

The Administrator stores personal data only for the time necessary to achieve the purposes set out in this Privacy Policy:

  • Account Data (Name, Email): Processed for the duration of the User's employment or contract with the entity using the MeMOM System, and thereafter for the period required by law (e.g., for tax or accounting purposes) or for the defense of claims (statute of limitations).
  • Operational Data (Photos, Docs): Stored as part of the warehouse documentation for the period required by business regulations applicable to the Administrator's clients.
  • Technical Data (Crash Logs, Diagnostics): Stored for a period of up to 12 months for analysis and system improvement purposes, after which it is deleted or anonymized.
7. USER RIGHTS AND HOW TO EXERCISE THEM

The User has the right to access, rectify, delete ("right to be forgotten"), restrict processing, and object to the processing of their data.

How to submit a request?To exercise your rights, please follow these steps:

  1. Send an email to: info@masta.solutions.
  2. In the subject line, please write: "GDPR Request" or "Data Deletion Request".
  3. In the body of the message, please indicate which right you wish to exercise (e.g., "I request the deletion of my account").

The Administrator will respond to the request within 30 days. You also have the right to lodge a complaint with the supervisory authority (President of the Office for Personal Data Protection in Poland).

8. CHANGES TO THE PRIVACY POLICY

The Administrator reserves the right to make changes to this Privacy Policy. Any changes will be published on this website and, if significant, communicated via the Application.
